A small award-winning architectural firm located in the heart of Downtown Vancouver looking for an enthusiastic individual to join our team. Our projects include a mixture of single-family, multi-residential and commercial projects.
We are seeking a full-time (Mon-Fri) Office Manager/Assistant with a minimum of 2 years of office work experience. This full-time position will provide a busy work environment with an opportunity for personal growth through diverse responsibilities. We encourage positive, energetic, well-organized individuals to apply.
Perform administrative support tasks as needed or requested by the Principal
Assist Architectural Technicians to complete requirements for permit Applications
Submit Permit Application at various Municipalities
Prepare written correspondence. Manage, organize and edit documents on the server.
Maintain strictest confidentiality both internally and externally.
Provide support to new employees with office procedures
Organize and maintain onsite storage with needed office supplies and miscellaneous
Answer telephone calls, take messages and provide appropriate information
Maintain work area and reception in neat and orderly manner.
Position Requirements & Qualifications
Degree or Diploma from a related field would be an asset
2 years of administrative /customer service fields experience
Outstanding customer service skills; ability to manage challenging situations in a calm and professional manner
Highly developed interpersonal communication, problem solving, organizational and conflict resolution abilities
Ability to work independently, as well as a part of a team, managing priorities to meet deadlines
Computer proficiency with MS Office (Word, Excel, Outlook, Projects, PowerPoint). Interest to learn new software to improve managing systems
Excellent oral and written communication skills with ability to liaise with professionals, clients, vendors and municipal authorities. Knowledge of spelling, grammar and punctuation
Experience in Project Management would be an asset.
Design and graphic presentation skills would be an asset
Valid Class 5 Driver’s license with clean record
