Office Manager/Assistant

A small award-winning architectural firm located in the heart of Downtown Vancouver looking for an enthusiastic individual to join our team. Our projects include a mixture of single-family, multi-residential and commercial projects.

Opportunity
We are seeking a full-time (Mon-Fri) Office Manager/Assistant with a minimum of 2 years of office work experience. This full-time position will provide a busy work environment with an opportunity for personal growth through diverse responsibilities. Position Responsibilities
 Perform administrative support tasks as needed or requested by the Principal
 Assist Architectural Technicians to complete requirements for permit Applications
 Submit Permit Application at various Municipalities
 Coordinate meetings
 Prepare written correspondence. Manage, organize and edit documents on the server.
 Maintain strictest confidentiality both internally and externally.
 Provide support to new employees with office procedures
 Organize and maintain onsite storage with needed office supplies and miscellaneous
 Answer telephone calls, take messages and provide appropriate information
 Maintain work area and reception in neat and orderly manner.

Position Requirements & Qualifications
 Degree or Diploma from a related field would be an asset
 2 years of administrative /customer service fields experience
 Outstanding customer service skills; ability to manage challenging situations in a calm and professional manner
 Highly developed interpersonal communication, problem solving, organizational and conflict resolution abilities
 Ability to work independently, as well as a part of a team, managing priorities to meet deadlines
 Computer proficiency with MS Office (Word, Excel, Outlook, Projects, PowerPoint). Interest to learn new software to improve managing systems
 Excellent oral and written communication skills with ability to liaise with professionals, clients, vendors and municipal authorities. Knowledge of spelling, grammar and punctuation
 Experience in Project Management would be an asset.
 Design and graphic presentation skills would be an asset
 Valid Class 5 Driver’s license with clean record
