Scouts Canada is seeking a Member Services Administrator to join our team in our BCY Service Centre in Vancouver! The Member Services Administrator is responsible for providing quality customer service to new and current members in support of registrations, volunteer screening, monthly group reconciliations and administrative and clerical services in support of Scouts Canada initiatives in British Columbia. Please note this is a 6-month term contract.
Excellent ability to quickly organize, document and key data into various spreadsheets and Scouts Canada registration software, with a high sense of accuracy while also providing quality customer service to members is a key success factor for this role. Your to-do list with change daily, but your main responsibilities are:
First point of contact for all volunteer and member inquiries – Provide timely response to all inquiries in meeting Service Level Agreements
Manage administration of MyScouts and responsible for ensuring that all members are registered and compliant with screening requirements
Reconcile registration cheques and deposit fees to the National account
Manage the administration of the No One Left Behind (NOLB) subsidy process, ensuring youth are registered and any outstanding fees remitted
Manage the registration refund process and ensure all groups/parents receive the appropriate refund
Reconcile group registration on a regular basis to achieve minimal accounts receivable balance
Produce monthly statistical reports for Operations Manager
Point of contact for group and area registrars and provide information and advice; conduct regular training and webinars for group and area registrars on using MyScouts system
Provide registration support to new and prospective groups and follow up with groups having outstanding registration issues
Liaison with local police station in completing screening requirements and following up on Police Record Checks (PRC) and Vulnerable Sector Searches (VSS)
Manage electronic storage of group files and PRC’s
Actively participate in all national MSA conference calls
Respond to Help Centre queries in a timely manner
Provide registration support for special events and determine active and compliant members
Process all group charters; update and maintain group-partner charter lists.
What you bring to the table:
Post-secondary education in a related field or a combination of post-secondary education and relevant work experience.
Minimum 2 years of experience in an administrative role
Self-starter and the ability to prioritize and manage your time effectively to achieve/surpass targets.
Strong customer focus and commitment to meet service level agreements
Thrive in a busy and challenging environment where every day is something different.
Proficient in Microsoft Office including Word/Excel
Experience working with volunteers and volunteer management approaches is an asset.
Work hours will be 9:00-5:00 Mon-Fri however some flexibility will be required to work evenings and/or weekends during busy program events
A clear Police Record Check is a requirement and will be asked of the successful candidate.
