Job Description

Purpose: To act as a vital part of the development team working to strengthen relationships with stakeholders and donors and encouraging organizational growth while upholding and promoting the mission, vision and values of the More Than A Roof Group of Societies.

Report to: CEO, CFO
Part Time: 10 hours weekly

Job Summary:
Provide executive level administrative and logistical support to the Foundation committee and executive leadership team while demonstrating initiative, tact and discretion, and acting independently using good judgment in dealing with staff, donors and board members.

Administration
• Provide executive level administrative support to the CEO and CFO as directed and required
• Research foundations, grants, individual donors and funds to support the fundraising efforts of the foundation
• Manage internal grant and disbursement activities and prepare reports as required
• Maintain up-to-date contact, donor and distribution lists, and accurately and consistently update donor information to ensure data reliability
• Assist with the management of donor stewardship cycles and timely gift acknowledgement

Communications
• Respond to inquiries consistently and in a professional manner to ensure efficient and timely communications
• Route information and communication to appropriate staff or board member as required
• Produce and distribute correspondence, memos, letters, faxes and forms as required
• Develop and format printed and online collateral including photos, written copy and content ideas to support fundraising including cases for support, fact sheets, pamphlets, annual reports, donor impact statements, website copy and other communication materials as required
• Coordinate and implement mail and email campaigns

Office Procedures – Remote / Tele-work
• Maintain a clean and enjoyable working environment
• Obtain office supplies as required
• Develop and maintain a filing system and archive files annually or as needed
• Be responsible for costs associated with a flexible work location other than the required IT infrastructure if provided by MTR
• Follow MTR policies, workplace health guidelines, terms and conditions of employment and departmental procedures
• Safeguard private and confidential information to prevent unauthorized access including ensuring that conversations are not overheard and records are secured.
• Other duties as assigned by the CEO, CFO and Foundation committee

Meetings, Promotions & Events
• Where directed, prepare for team meetings and plan necessary food, materials, etc.
• Attend meetings as required
o Responsible to minute the meetings and distribute in a timely fashion
• Book necessary travel arrangements
• Plan and assist with the co-ordination of other functions, society sponsored events or other group events and maintain adequate records of the functions
• Identify and track media and publicity opportunities
• Identify and monitor social media platforms and activities
