Legislative Assistant (Corporate Services Department)

Pay Grade 7 – $30.05 to $31.83/hour

The District of Oak Bay is a picturesque seaside community located within the Greater Victoria Region, with a population of +18,000. While offering all the amenities of a large metropolitan urban centre, Oak Bay has succeeded in maintaining all the peacefulness and charm of a small town. Residents enjoy an exceptional quality of life, with miles of spectacular West Coast shoreline, brilliant beaches, parks and greenspace, quaint tree-lined streets and vibrant, boutique villages just beyond their doorsteps.

Why We Work for the District of Oak Bay
With a progressive Council and strong, supportive and cohesive Leadership Team in place, the organization is on an exciting trajectory, as we strive to position ourselves as a leader in all aspects of municipal governance and service delivery. Recently, we’ve made major advancements in reporting and transparency, and our efforts are earning recognition – in 2020, Oak Bay was one of the top three finalists for the UBCM Excellence in Governance Award and earlier this year, the municipality received its first Distinguished Budget Presentation Award from the Government Finance Officers Association of BC.

This is a particularly exciting time in Corporate Services, as we seek to re-think and modernize the systems, processes and tools that are the foundation of a fast-paced corporate administration department. We are a small but hard-working team, strongly committed to always doing our best and ensuring positive outcomes for the organization and the community. We have some big projects on our plate – our ideal candidate is adventurous and up for a challenge. You bring the skills and enthusiasm, and we’ll provide you with a supportive, friendly and collaborative work environment where you can grow and flourish as a local government administrative professional. At Oak Bay, our people and their well-being is a top priority; we want your work to be an important and enjoyable part of your life. To support you in striking a healthy balance, our competitive compensation package includes, a comprehensive benefit package, wellness programs, such as regular wellness webinars, and employee/family assistance.

About the Position
We are currently looking to hire a second Legislative Assistant to complete our Corporate Services team. Reporting to the Director of Corporate Services, the Legislative Assistants perform a wide range of professional administrative duties under tight deadlines, requiring a high level of accuracy, confidentiality, and discretion. In this role, you will provide high-level administrative support and coordination for the Corporate Services Department, both operationally as well as for special projects. You will also regularly engage with and support a variety of stakeholders, including the public, Council, co-workers, other government agencies and community organizations.

The Legislative Assistants are jointly responsible (meaning not all of this work falls to one person!) for preparing and distributing Council and Committee of the Whole agendas, attending meetings and taking and transcribing minutes, as well as managing follow up to Council’s decisions.

Ideally, your eyes will light up when we say the words “records management”, as we are currently in the middle of a major project to transition the organization from a paper-based, legacy model to an integrated electronic document and records management system. We will be looking to our newest Legislative Assistant to play a key role in this project, as well as the ongoing maintenance and management of this system, and therefore experience with the LGMA classification and retention system and/or electronic records management systems will be a significant asset.

To be successful in this role, you will have a Local Government Certificate in a related discipline such as Local Government Administration, Public Administration or Business Administration plus three (3) years’ prior job-related experience, including acting as a recording secretary to committees, council, boards or commissions, preferably in a municipal setting.

If your qualifications and interests are a great match for our needs, please apply, in confidence, by 4:30pm on March 1, 2021 to:  oakbayjobs@oakbay.ca
