We are a growing team of professional who work together to support midwives in achieving the best for the profession and the clients/families they serve. Join our team MABC is seeking the professional skills of an experienced Executive Assistant to provide professional, confidential executive support to an Executive Director with an operational team, Board of Director and members. You are a seasoned executive assistant with very strong organization skills, communication and are a proactive individual who thrives in a fast-paced, changing environment. You are a team player, and you work well and enthusiastically with a wide variety of people. You are a resourceful self-motivated and have a customer-oriented mindset. Your mandate will involve artfully and thoughtfully managing numerous activities with a high level of professionalism, collaboration and confidentiality. Here’s howHigh energy individual possessing excellent interpersonal and communication abilitiesAbility to respond professionally to communications on behalf of the executive in a timely and professional manner (phone, email, etc.)Act as a liaison with internal and external customers, vendors, and team members, managing and prioritizing business meetings and activitiesManage and prioritize calendar scheduling, travel arrangements, communication requests and expenses for the Executive DirectorFollow up on deadlines and commitments to or from the executive and or Board of DirectorsOrganize minute taker, capture tasks for daily scheduling, meetings, projects and file managementBudget reporting and tracking on a monthly basis/as requiredManage Purchase Orders and process legal and consulting invoicesCoordinate hiring approvals, ordering office supplies, internal provisioning requests, real estate requests, maintain equipment and servicesOther duties and special projects as required Qualifications Required Skills & Abilities:Degree or Certificate in Business Management with proven experience as an Executive Assistant for a minimum of 5 years of experience in a similar or equivalent role supporting senior executivesExposure to administrative support responsibilities in a senior management environmentExtensive background being responsible for the document management systemExperience in coordinating Board meeting agendas, reports, meeting packages including preparing for the annual general meeting activitiesProfessional image combined with strong interpersonal skills, and an ability to communicate in a professional manner with executive leadership, internal and external stakeholders (verbal and written)Tact, diplomacy, discretion, independent judgment and initiative used to work on assignments and communications of a sensitive naturePrecise and effectively written e-mails; ability to edit correspondence and reportsSuperior organization, prioritization and critical thinking skills as well as proven active listening skillsExcellent analytical, problem-solving skills and strong attention to detailResourceful, with the ability to prioritize, multitask and meet deadlines with minimal supervision to meet the needs of internal team membersWillingness to work with a high degree of flexibility in responding to changing prioritiesTime management and multitasking skills with a strong sense of urgency under minimal supervision plus work effectively under tight timelinesAbility to exercise initiative in adapting procedures to address unusual problemsFlexibility to work overtime, if required Required Knowledge:Advanced knowledge of MS Outlook; multiple calendar management, comfortable dealing with multiple time zones, highly organized archiving skillsAdvanced knowledge and proficiency of MS Office and Google Suite; ability to create and edit documents and presentations according to branding and template standards; ability to work with complex spreadsheetsExperience working with the British Columbia government is an asset Position: · Full time position with benefits · Business casual dress Primary Location: Vancouver, office-based Hours: M-F, 40-hour week, 8:30-4:30pm Salary: $28.00 – $32.00 per hour Application deadline: 2021-05-17 Potential start date: 2021-05-25 Job ID: 16348048
