Position Purpose: The Associate is our company glue. More than supporting the Chairman and owner of the company – this is proactive – “think ahead”, “anticipate needs” and “use your initiative” role. Staying a step ahead of what may be asked. A Yes! I can approach. Always with integrity. This role reports to the Chief of Staff and is expected to liaise between all internal and external partners. The candidate needs to be excited about facilitating administrative support across a multi-layered organization. It is often outward-facing in nature, and as such, can be very visible. As our company ambassador, you will need to always have the highest level of professionalism and discretion. The ideal candidate for this role is an organized multitasker who can handle many diverse projects at once and who is unfazed by the need to meet tight deadlines. The candidate is comfortable working independently. The candidate follows directions well, and possesses exceptional attention to detail, strong interpersonal communication skills – both written and oral, and enjoys working in a support role that sometimes does not receive the recognition that it always deserves. The candidate will have executive-level support experience with a minimum of two years of work experience. The ideal candidate understands it is the little things throughout the day that makes the big things able to happen. Strategic Priorities:In collaboration with Chief of Staff, providing administrative support to the Chairman utilizing the highest level of confidentiality and discretionBeing an ambassador for the Chairman and the Company by demonstrating professionalism and warmth and proactively promoting both the Chairman and the CompanyProviding general office management support and service to internal and external partners. Job Responsibilities: Executive Coordination:Managing the Chairman’s professional, community, and personal schedule according to his and the Company’s priorities. With sensitivity to his work-life balance. Ensuring the Chairman’s workday is always optimized and efficient.Managing, booking, and supporting the Chairman’s travel schedule including details – learning and ensuring preferences are in place.Ensuring that the Chairman has all material and briefing notes well ahead of meeting times, in a clear, easy to review format – including a weekly summary of next week’s schedule.Maintain the Chairman’s contact list, including notes and specifics to those contacts. Understanding the importance and relevance of strategic contacts and developing a relationship with those contacts.Ensure our company CRM is not only up-to-date and holds relevant and pertinent data but becomes the go-to tool for reliable contact management. Providing, as required, background research for the Chairman on various matters. Using initiative to determine best sources for comprehensive and relevant research.Writing correspondence for the Chairman, including suggesting when correspondence could optimize a relationship.Developing and maintaining a comprehensive understanding of the Chairman’s board roles, the Company’s multiple partnerships, and the Chairman’s strategic contacts.Monitoring and managing the Chairman’s voicemail and e-mail accounts and responding as appropriate.Attending various events to provide support to the Chairman. Administrative Coordination:Co-ordinating office meetings and office social events – from scheduling, ordering, organizing through to follow-up and clean-up.Prepare agendas, briefing materials, and board materials for the Company’s portfolio assets.Acting as a resource to the leadership teams in the Company’s various portfolio assets.Ensuring the office, boardrooms, and Chairman’s office is prepared and ready for meetings, events, and guests. Including ensuring the front entrance and kitchen are managed.Managing the Office and Administration budget, including IT, office supplies, courier and postage, office refreshments, mobile phones, office telephones, and parking; including being the point of contact for these suppliers, and ordering supplies as required.Providing liaison services and limited support for the entire F&C Team. Arranging and ordering office and meeting catering as required.Monitoring general delivery voicemail, manage couriers, collect and distribute mail, as well as manage the day-to-day banking requirements.Preparing the Chairman’s various expense reports and other administration requirements.Manage digital and paper filing systems for ease of use and document accessibility. Ambassador Responsibilities:Welcoming and assisting the Chairman’s and Company’s guests.Develop, maintain, and strengthen professional working relationships across the organization and its larger network.Securing support and forming alliances with both internal and external partners.Ability to work collaboratively with others, forging connections.Ensure departmental processes and procedures are running smoothly, seeking to continuously improve to offer best-in-class service.Ensures the organization offers and maintains a pleasant and functional physical work environment.Discretely handle confidential information and data – adhering to privacy and confidentiality conduct agreementActively supports the team; works to prevent and solve problems that may arise from working relationships among individuals and/or teams.Stay current by continuously updating job and industry knowledge – exhibit a keen desire to self-develop and improve.Understand Fulmer and Company’s business model, how to create value and how to change impacts all areas of the organization. Be a positive change agent.Actively build and maintain an inviting company culture. Skills and Qualifications: Post-secondary degree; bachelor’s degree in Business Administration or Business Management and assetTwo to three years experience as an Executive Assistant supporting senior leadership.Proven experience being a supportive and collaborative team player.Experience building internal and external relationships, handling difficult personalities, and handling conflict situations while demonstrating an ability to work collaboratively in a team environment.Demonstrated success in delivering results with an entrepreneurial spirit of self-confidence and a positive, self-motivated approach.Demonstrated ability to create solutions for a variety of high severity requests or escalations in a fair and tactful way.Excellent collaborator and communicator in written and verbal form.Proficiency in full Microsoft Office suite, especially with Teams, Word, Excel, and PowerPoint.Extremely versatile, dedicated to efficient productivity and production for multiple brands.Passionate about building a community and being the connector that makes it happen.
