Admin assistant- service call booking & scheduling


Job Description:We are a locally owned and operated small business established 26 years ago in the lower mainland. We provide sales, service and installation of gas fired fireplaces. Job Description: Administrative Assistant We are hoping to find a dynamic person who can remain calm when chaos strikes, and assist us as we help customers from all over the lower mainland. Our employees are all long-term, we are looking forward to getting another team member that can join our work family. Provide administrative support to ensure efficient operation of the office through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the field’s concepts, practices, and procedures. Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner. Daily Duties: · Answer phone lines and emails, return messages in a timely manner· Verify customer requirements, obtain customer data, equipment data if applicable, create a customer profile and book service appointments· Enter data/invoices into in-house software; training provided· Be responsible for preparing technicians for their day, ensuring their vehicles are stocked appropriately and go over the previous days calls· Resolve customer complaints courteously and promptly or refer to office manager if needed· Provide support and aide Office Administrator as needed This position is ideally suited for someone that possesses the following:· General knowledge of Microsoft Office, Outlook, internet search, map reading, typing/keyboarding skills· Excellent communication skills, both verbal and written· Confidence and ability to connect with customers· Ability to work well under pressure and independently with minimal supervision.· The ability to solve problems, resolve disputes and exercise sound judgement· Friendly, energetic, approachable with positive attitude and outgoing personality· Ability to multi-task with excellent time management skills· Some knowledge and experience in the HVAC or gas fireplace industry as asset but not required· Driver’s license and vehicle would be an asset as transit is limited, but not required We offer a range of benefits including but not limited to:· Extended health benefits package after probationary period· Ongoing training and support· Great working environment with fun kind people· Staff appreciation days/events· Work hours are Monday to Friday, closed all statutory holidays With Covid-19 protocols in place, we will accept resumes at this time, schedule a phone interview and proceed as required with in-person interviews.
