We are based in Burnaby adjoining Vancouver, British Columbia, operating across Canada. Overview:
Reporting directly to the President (CEO), the Executive Assistant will be responsible for scheduling, planning and coordinating the office. This role will act as the key contact in all matters pertaining to the office and will be expected to have a solid understanding of current and future projects as well as business needs. This ideal candidate must be highly detail-oriented who can multitask under extreme pressure in a fast pace environment.

Responsibilities:
• Managing daily calendar including planning and scheduling meetings, appointments, projects, and events
• Planning and coordinating projects, booking travel arrangements and itineraries
• Drafting briefing notes to prepare CEO for all important projects, meetings and events,
• Drafting confidential proposals and documents accordingly
• Travelling with CEO to key meetings and events as required;
• Understanding and interacting with key contacts, stakeholders and clients;
• Screening, prioritizing, and responding to CEO emails, phone, voicemail, and mail;
• Preparing for client meetings or presentations
• Summarizing meeting notes, and action items for CEO;
• Coordinating lunches and dinner for meetings with guests and clients
• Following up on outstanding issues
• Managing and assisting office staff if required
• Acting as the second in command as the (“to-go” person)

Qualifications
• Minimum 2-5 years experience in an Administrative or Executive Assistant role
• Demonstrated organizational, scheduling, and multitasking abilities
• Proven ability to expertly communicate verbally, in writing, and with diverse groups
• Be personable with the ability to present and conduct yourself professionally
• Proven ability to work well under pressure and complete projects timely and proactively
• Be able to work both in a team and independently
• Be able to work with limited information and problem solve to deliver ideal solutions
• Be able to work overtime if required
• Willingness to travel if required
